How Learnerbly Beyond gives people leaving your company a personal, pre-approved learning budget for a set period after they go.

Learnerbly Beyond lets you give people who are leaving your company a personal learning budget they take with them for a set period. It is spent on the full Learnerbly marketplace (courses, books, coaches and events), every purchase is pre-approved, and what they learn stays private to them. You send us a list and fund it once; Learnerbly handles the invitations, reminders and the end of access.

Who it is for

Learnerbly Beyond is designed for redundancy and outplacement situations. You decide who is offered it and how much each person receives. It is opt-in per employee and initiated by you: leavers cannot request it themselves.

It works whether or not your organisation already uses Learnerbly. If you are an existing client, your leavers are set up in a separate alumni organisation, so your own account, seats, approvers and reporting are untouched.

How it works

  1. You choose the leavers and the amounts. The amount can mirror what was left in someone's Learnerbly budget or be a fixed figure per person. Access lasts three months by default. You can set a different end date per leaver.

  2. You send Learnerbly the details. For each person: their personal email address (not the work one, which will stop working), first name, last name, the amount, and the country they are based in. Optionally, their work email and a specific end date. A spreadsheet is fine.

  3. Learnerbly Finance invoices the funding or this can be drawn from your current Learning Credit balance. Leavers are invited once the funds have cleared and assigned.

  4. Each leaver receives an invitation to their personal email, signs in with a secure link, completes a short onboarding, and can start spending straight away.

  5. Learnerbly reminds them 30, 14 and 3 days before their access ends.

  6. Access ends automatically on the end date. Anything they have already purchased still arrives.

What leavers can do

  • Sign in with their personal email using a magic link.

  • Browse the whole catalogue for their region and request anything within their budget. Requests within the remaining balance are approved instantly; anything above it is refused, so nobody can overspend.

  • Book Learnerbly career coaches like any other resource.

  • Learn in private. There is no activity feed, no other learners are visible, and you will not see what they choose.

What leavers cannot do

  • Use Virtual Cards or Expense it Yourself. The budget can only be spent through the Learnerbly catalogue, so it cannot be cashed out. We are planning on changing this in the future through further product work.

  • Extend their own access or add money themselves. Changes come from you, through Learnerbly. We are planning on changing this in the future through further product work.

  • Act as an admin. Leavers never have admin rights in the alumni organisation.

Changes after the invitation

Contact your Client Success manager (or support) to:

  • Top up a leaver's budget.

  • Extend a leaver's end date. Their reminders adjust automatically.

  • Re-send an invitation that was lost.

  • End access early for a leaver.

Privacy

Leavers are moved out of your organisation into a separate alumni organisation. The activity feed is switched off, their requests are never shown to others, and no individual reporting is available to you. This is deliberate: it protects leavers from one another as much as from their former employer, since nobody should be able to tell who else was made redundant. Learnerbly can share aggregate spend for invoicing purposes.

Frequently asked questions

Can we do this for a large group at once?
Yes. One spreadsheet row per leaver covers a restructuring of any size, and sending the same file twice never creates duplicates.

What if someone's personal email is already registered with Learnerbly?
If the address is already in use in another Learnerbly organisation, we will flag it back to you rather than create a second account, and agree how to proceed.

Which currencies are supported?
GBP, EUR and USD. Each currency needs its own alumni organisation, so a company with leavers in the UK and the US would have two.

Does the country matter?
Yes. It decides which catalogue and prices the leaver sees. We support Canada, Germany, Spain, the UK, Ireland, the Netherlands, Sweden, the US, and a global option for anywhere else.

Does the leaver keep their learning history from our account?
Not at the moment. They start fresh in the alumni organisation and their old account is archived as usual.

What happens to an order that is still in progress when access ends?
It completes. Only requests that were still pending are cancelled.

What happens to money that is not spent?
Unused funds at the end of a leaver's access period are non-refundable.

Is there a tax or benefit-in-kind implication for the leaver or us?
In the UK, this kind of retraining support is normally tax free provided certain HMRC criteria are met — broadly, that it is genuine skills development, offered on the same terms across the affected group, and taken up within the allowed timeframes. In the US, employer-funded training can qualify for a specific allowance of up to $5,250 per person per year. Tax rules change and vary by country, and responsibility for the tax treatment rests with you as the employer, so please confirm the position with your own tax adviser.

Do we need to change anything in our HRIS?
No. Terminate the leaver's record as normal. The alumni account is independent of your HRIS sync.

Is there anything we need to run ourselves?
No. Once we have the list and the funding has cleared, Learnerbly runs the invitations, reminders and the end of access.
