1. What is the payment timeline for partner invoices?
We work on a Net 30-day payment schedule for partner invoices (as set out in clause 2.4 of your Partner Agreement), with payments processed twice a month.
Once your invoice has been approved, you'll receive payment within 30 days. Our two monthly payment runs are an operational convenience sitting within this contractual term — your 30-day payment right is unaffected regardless of which run your invoice falls into.
If it's been longer than 30 days, feel free to drop us a line at partnerinvoices@learnerbly.com and we'll look into it.
2. How should I format my invoice?
We use a single-invoice model, so your invoice should show Learnerbly's commission as a minus line. This helps keep things clear and aligns with VAT and HMRC guidelines.
✍️ Example invoice format (Commission rate shown is illustrative only — your actual rate is specified in your Partner Agreement, per clause 4.1.)
For Non-VAT Registered Partners:
Item | Net Price | VAT | Gross Price |
1x Online Course X | £100.00 | £0.00 | £100.00 |
- Learnerbly commission (30% of NET price) | £30.00 | £6.00 | £36.00 |
Total amount to pay |
|
| £64.00 |
For VAT Registered Partners:

To help us process your payment without delay, please make sure your invoice includes:
Bank details
Invoice number
Month the invoice relates to
Please ensure your invoice reconciles to the Finance tab of the Learnerbly shared spreadsheet. Our finance team checks your invoice against this tab before payment is made — any discrepancies will cause delays.
Please email invoices to partnerinvoices@learnerbly.com.
📅 Payment runs
There are two payment runs per month. Per clause 3.4 of your Partner Agreement, invoices must be submitted by the 5th of the following month to be included in a payment run.
Mid-month run: Invoices received by the 5th working day of the month.
End-of-month run: Invoices received by the 15th working day of the month.
These runs are an operational convenience — your contractual payment term remains Net 30 days from invoice approval (clause 2.4).
If your invoice remains unpaid for over 30 days, please contact us so we can investigate.
3. How is commission calculated, and how does VAT work?
Commission is calculated on the net content price (excluding VAT), not the VAT-inclusive listed price. Learnerbly also charges VAT on its revenue share, as set out in clause 4.3 of your Partner Agreement.
Here's how a single order breaks down:
| Amount | Explanation |
Listed course price (VAT-inclusive) | £120.00 | The price displayed on Learnerbly |
VAT on course (20%) | £20.00 | VAT is separated out first |
Net content price (ex-VAT) | £100.00 | This is the base on which commission is calculated |
Learnerbly commission (25%) | £25.00 | Applied to the net content price only |
VAT on commission (20%) | £5.00 | Learnerbly charges VAT on its revenue share |
Total commission | £30.00 | Commission + VAT on commission |
Amount you invoice Learnerbly | £90.00 | Listed price minus total commission (£120.00 − £30.00) |
Note: The commission rate above is illustrative only and shows a single order for clarity. Your actual rate is specified in your Partner Agreement. Learnerbly charges VAT on its revenue share across all orders, regardless of whether the underlying product is subject to UK VAT.
For your monthly invoice, use the Invoice Generator in the Finance Tab of your shared spreadsheet. Enter the month end date and it will automatically aggregate all orders fulfilled that month, calculate the total commission and VAT on commission, and produce the final gross total — this is the amount you should invoice Learnerbly for.
4. Must my invoice match this example format?
Not at all! You can use whatever format works best for you, as long as Learnerbly's commission is clearly shown as a minus line.
