Fulfilment processes at Learnerbly

How are learning requests fulfilled on the Learnerbly platform?

At Learnerbly, we’re committed to processing all learning requests within 24 hours during our working hours (Monday to Friday, 9 am–5 pm). Our Service Operations Team uses two different fulfilment methods, depending on our partnership setup.

1. Check out Code-Based Fulfilment

In this model, the partner supplies us with a batch of pre-generated, single-use codes that grant learners full access to a resource at no cost. Once a request is submitted, our team sends the user a code and clear instructions on redeeming it directly via the partner’s website.

Reporting and invoicing: Learnerbly keeps the codes on a shared spreadsheet tracker, which our operations team uses to take the codes. Partners have real-time access to this sheet and can track the number of sales made throughout the month. At the start of each new month, partners are required to submit a single invoice covering the total value of codes we used from the previous month, minus our revenue share. A calculator is included on the Finance tab to facilitate the process.

Fulfilment responsibilities:

  1. The partner shall provide Learnerbly access to an agreed number of single-use codes which Learnerbly Users can utilise to access learning content via the Partner’s website.

  2. Upon request by Learnerbly Users, Learnerbly is responsible for distributing the codes to Learnerbly Users.

  3. The Partner shall provide technical support to Learnerbly in the event of a fault in the Partner’s code, or other fault resulting in the User being unable to access the learning product.

  4. By the 10th day of every month, the Partner shall invoice Learnerbly for the total value of the codes distributed in the prior month, minus the value of Learnerbly’s Revenue Share (as stated above). The revenue share shall be detailed in the invoice.

2. Shared spreadsheet (Partner tagging) Fulfilment

When a learner requests a resource, our operations team logs their details in a shared spreadsheet. To notify the partner, we tag their designated contact in a comment, which also triggers an email notification.

To maintain our service standards, we rely on partners to provide access within 24 hours of each request. Once access is granted, the partner marks the comment as ‘done’ and records the completion date in Column M — this is referred to as the "Partner Date" (the date the learner receives access).

Fulfilment responsibilities:

  1. Learnerbly shall provide the Partner access to a shared spreadsheet. Upon request by Learnerbly's users, Learnerbly is responsible for inputting the User name, email, and other information detailed below in Annex 1 into the shared spreadsheet. Learnerbly shall notify the Partner of the request via the shared spreadsheet.

  2. Upon notification by Learnerbly, the Partner is responsible for granting the Learnerbly User access to their learning product within one business day of receiving the notification.

  3. The Partner shall provide technical support to Learnerbly in the event of a fault in the Partner’s product, or other fault resulting in the User being unable to access the learning product.

  4. By the 10th day of every month, the Partner shall invoice Learnerbly for the total value of the products fulfilled in the prior month, minus the value of Learnerbly’s Revenue Share (as stated above).

    The revenue share shall be detailed in the invoice.

Reporting and invoicing
